Procedure

Travel Agent calls the group department and books bride/groom or meeting organizer’s room with deposit. A group code is issued. The guests can be sent Save the Date cards directing them to book through the travel agent or the travel agents portal or book directly online or by calling 1-800-327-1991

A group is now considered 5 rooms or more. All groups of 5 rooms or more receive a complimentary 1 room 1 category upgrade (Excluding Butler Service Rooms). Once the group reaches 10 rooms the amenities will be awarded accordingly. Promotional rates apply.

Meetings & Incentive Groups 2009/2010 Amenities

5 to 9 rooms

  • Complimentary one room category upgrade

10 rooms or more

  • Complimentary room upgrade for the group organizer or one (1) complimentary upgrade for every
    twenty-five (25) rooms paid. (excluding Butler Suites and subject to space availability)
  • Private group cocktail reception with hot and cold hors d'oeuvres and open bar for 1 hour*
  • 1 complimentary person for every 12 paid rooms based on double occupancy
  • 1 complimentary coffee break per day during scheduled meetings

* Entertainment at additional cost

Social Groups 2009/2010 Amenities

5 to 9 rooms

  • Complimentary 1 room 1 category upgrade

10 rooms or more (effective on new bookings made from July 15, 2009)

  • Private group cocktail reception with hot and cold hors d'oeuvres and open bar for 1 hour
  • A group picnic basket lunch
  • 1 group photo portrait session for 15 minutes & one 5x7 picture per room
  • Private group check-in
  • $100 Red Lane spa credit per room for groups staying 5 nights or longer
    • Entertainment at additional cost
    • Above amenities are not combinable with any other group program

Terms

Contract Terms for Groups of 5 - 35 Rooms:

  • A deposit equal to ten percent (10%) of the full program NET room revenue is required to confirm the rooms.
  • A second deposit equal to 35% of the NET group value is due ninety (90) days prior to the groups scheduled arrival date.
  • Final balance on the total NET group value is required forty-five (45) days prior to arrival, along with a final rooming list and flight information.

Cancellation Terms for Groups of 5 - 35 Rooms: (Rooms, Room Nights or Guests)

  • 91 days or more prior to group arrival, there will be no fee for any cancellation.
  • Any cancellation between 90 and 75 days prior to arrival date, the 10% deposit becomes non-refundable.
  • Within 74 - 46 days of the scheduled day of arrival, 45% of full room revenue will be charged for any cancellation.
  • Any cancellation or “NO SHOW” 45 days to arrival date will be charged 100% penalty of the full room revenue.
